This page contains guidance on completing the 2026 Admissions process.

Permissions
Access: The permissions required to manage the Admissions process are found in the Administration Module of Config>Setup>Roles & Permissions. Each tick box on the right determines which functions are visible/available on the page for users with the selected Role.

Admissions Process
To support the Admissions process, certain settings in the Administration module should be checked and, where required, amended before creating Pre-Admission Groups or adding students.
Navigate to Config > Administration > Admissions Settings

Using the Default Settings to be used at Admission panel on the right-hand side, consider the following options:
- Attend Mode – sets the default Attendance Mode for students
- Enrolment Status – sets the default Enrolment Status for students
- Ignore Date of Birth Restrictions – allows adding students to a Pre-Admission Group even if they fall outside the date of birth range used.

Click Save to update any changes made.
Pre-Admission Groups allow schools to organise incoming students before full admission, typically based on date of birth range and planned admission date. This helps manage the admissions process efficiently and ensures students are grouped correctly before being added to the MIS.
Navigate to Modules > Administration > Pre-Admission Groups

Previously created Pre-Admission Groups are displayed by default.
Click New

Complete all mandatory (*) fields, then click Create

Once the Pre-Admission Group has been created, students can be added to both the MIS and the Pre-Admission Group. This can be done in one of three ways:
- Manually Adding a Student
- Adding a Student via ATF
- Adding a Student via CTF
- Adding Students to Groups
From the Left-hand menu, click Students to open the Student List page.

Manually Adding a Student
Important: It is advisable to check that students have not already been added to avoid creating duplicate records. For Pre-Admission Students, click Search Filters at the top right, change Status to Pre Admission, and then click Close.

Type the student’s name in the Search Names box at the top right.

After confirming the student does not already exist in the MIS, click the New button at the top left.

Select Student Type as Pre-Admission before completing all remaining mandatory (*) fields, including selecting the Pre-Admission Group to add the student to.

Click Save or Save & Add Siblings to create the student record.

Adding a Student via ATF
This process is used when the Local Authority provides the school with an Admissions Transfer File (ATF).
From the Student List Page, click the Actions button and select ATF Import.

Click Browse to select and attach the saved ATF file

Review and amend the tick boxes to select the data to include in the import

Select the Pre-Admission Group into which the students from the ATF file will be imported and click Next

The system will now display a list of students ready to be imported and indicate if any match existing records. The Import Options column provides the choices Create New, Match Existing, or Ignore, which can be adjusted as needed.
Click Next after confirming the selections.
The final step in the process is to confirm and link sibling matches.

Click Import once sibling matches are complete to add the students and their data into the MIS.
Adding a Student via CTF
From the Student List Page, click the Actions button and select CTF Import.

Click Browse to select and attach the saved CTF file

Review and amend the tick boxes to select the data to include in the import

From the dropdown, add the students to Pre-Admissions rather than On Roll, then select the appropriate Pre-Admission Group.
Click Next to continue.

The system will now display a list of students ready to be imported and indicate if any match existing records. The Import Options column provides the choices Create New, Match Existing, or Ignore, which can be adjusted as needed.
Click Next after confirming the selections.

The final step in the process is to confirm and link sibling matches.

Click Import once sibling matches are complete to add the students and their data into the MIS.

Adding Students to Groups
Students can be allocated to groups, including Tutor Groups and Teaching Classes, while they remain in Pre-Admission.
From the left-hand menu, select Groups to open the Groups List page, then choose the relevant Group Type from the dropdown menu in the top-right corner of the page.

The following example demonstrates how to add students to a Tutor Group; the same process applies to other group types.
Select the required Tutor Group and click View (or double-click to open it).

From the Student Memberships panel, click Add Multiple.

Click on the blue magnifying glass to open the Student Selector list.

Set the Status to Pre-Admission and click Find to display students currently in Pre-Admission.

Select the required students and click Done.

The students will be added to the Selection List.
Set the membership Start Date and click Save.

The students can be viewed within the group by changing the Membership Display at the top of the page to Show Memberships for Selected Dates and setting the dates to match those used in the previous step.

Note: If pre-admission students added to groups do not join the school as expected and are not admitted, their group memberships must be removed from the system manually.
MCAS can be used to communicate with parents of Pre-Admission students.

MCAS User Accounts
To create an MCAS user account, the parent must have a linked contact record with a valid email address.
Navigate to Modules > MyChildAtSchool > User Accounts

Click New

Pre-Admission students can be found by typing ‘PreAdm‘ into the search bar at the top left.
Use the Select All tickbox (to the left of the Last Name column header) or tick individual students as needed, then click Next to continue and finalise the accounts.

Sharing and Collecting Data with MCAS
MCAS can be used to share an Admission Form to collect data from parents. The form can be configured by the school, with specific fields set as editable, visible and/or required.
Navigate to Config > MyChildAtSchool > Student and Contact Details

Select the Admission Form Tab

Using all five options in the ‘Information that can be viewed for’ dropdown, use the tick boxes to select which fields should be visible, editable, and/or required for parents.

Please note: within the Contact Details option, there is a setting that allows parents to add additional contacts, and the school can specify the minimum number of contacts required.

Further down the screen, documents can be added to share with parents via MCAS.
To add a document, click the + icon in the top-right corner of the panel.

Enter a title for the document, attach the file, and select whether parents must acknowledge having read it and whether it should be included with the Admission Form.
Click Save to apply any changes.

To ensure the Admission Form is visible to parents of Pre-Admission students in MCAS, use the panel further down the screen to link the appropriate Pre-Admission Group(s).
Click the blue spyglass to open the Group Selector, filter by Group Type = Admission Group, and select the relevant Pre-Admission Group(s).

Click Save at the top of the page to apply any changes made.

The Admission Form will appear in the left-hand menu, as illustrated below.

To view submitted admission forms, go to Modules > MyChildAtSchool > Requested Changes

Select Show Admission Form Submissions at the top of the page to view forms completed by parents.

Click a request to open the Manage Requested Changes pop-up, where you can approve or reject it.

Once a request is accepted, the changes will be automatically uploaded to Bromcom.

Sending Messages
To send a message to parents of Pre-Admission students, navigate to the Student List page, click Search Filters in the top-right corner, and change the Status from On Roll to Pre-Admission.

Select the student(s) to receive the message, then click Actions and choose Send SMS/Email.


This will open the Send SMS and Emails page – complete the relevant fields to compose your message.

To finalise the admissions process and admit students into the MIS from a specific date, navigate to Modules > Administration > Finalise Admissions

Select the appropriate Pre-Admission Group from the dropdown

From the Action dropdown, select either Confirm All for Admission or Confirm Individuals (if not all students in the list need to be admitted), verify the Admission Date, and click Admit at the top of the page.

Note: Admitting students removes them from Pre-Admission, assigns an official Admission Number, and records them as On Roll from the chosen admission date. They will appear in the On Roll view of the Student List page from that date.
