How to Add Students to Tutor Groups

In this guide we’ll look at a few different methods for adding Students to Tutor Groups.

Access: The minimum permissions required to perform the steps in this guide can be found in the following areas from within Config > Setup > Roles & Permissions:

For Bulk Group Assignment the permissions can be found in the Curriculum Module.

Using Bulk Group Assignment

Go to Modules > Curriculum > Bulk Group Assignment.

Pathway

In the Bulk Update Type drop down, select Tutor Group Memberships.

Click the Blue Magnifying Glass next to the Group Name field.

Use the Group Selector to select the Tutor Group or Tutor Groups you would like to add Students to and click Done.

Next, click the Blue Magnifying Glass next to the Student Name field.

Use the Student Selector to select the Students you would like to add to the Tutor Group(s) and click Done.

If you need to refine your search you can use the filters to the right and click Find to update the list.

Click Go in the top left hand corner.

In the pop up that appears, the Start Date will default to today, this is the Date that the Students will become active Members of the Tutor Group so it is important to ensure that this date is correct. Once you’re happy use the tick boxes to assign Students to the relevant Tutor Groups.

Is all of the Students are being assigned to the same Tutor Group you select use the Set column on header click tick box at the top.

This allows you to assign all the Students to one Tutor Group by clicking on the Tutor Group Column Header.

Once you’re happy, click Save & Close.

You’ll get confirmation in the top right hand corner that it has saved successfully.

Using the Group Page

Select Groups using the left hand menu.

In the Group Type drop down, select Tutor Group.

Double click on the Tutor Group you would like to add Students to, to open the Group Page.

Scroll down to the Student Membership panel and click Add Multiple.

Use the Student Selector to select the Students you would like to add to the Tutor Group and click Done.

If you need to refine your search you can use the filters to the right and click Find to update the list.

Check that the Start Date is correct. Track Group End Date will be selected by default, however if you would like to specify an End Date you can do that by unticking the box and selecting the correct End Date from the calendar.

Once you’re happy click Save.

The Students will now appear in the Student Membership panel.

Using the Student Record

Select Students from the menu on the left.

Select the Student or Students you would like to assign to a Tutor Group and click View to open the Student Profile.

Select Enrolment from the menu on the left.

Scroll down to the Tutor Group Memberships panel and click the + button in the top right hand corner.

In the pop-up that appears, select the correct Tutor Group from the drop down, the Start Date will default to today, but you can edit it if required. Tracks Group End Date will be selected by default, however if you do need to add an End Date you can un tick this to select an End Date.

Once you’re happy click Save.

The Tutor Group will then display in the Tutor Group Memberships panel.
