In this guide, we show How to Configure Accounts Receivable in the Finance Module.

Access: The minimum permissions required to Configure Accounts Receivable are found in the Finance Module section of Config > Setup > Roles & Permissions.

To begin, go to Modules > Finance > Finance Home Page > Maintenance > AR Configuration.

The AR Configuration page has 5 sections:
1. Accounts Receivable Parameters
3. Remittance Advice Parameters
When making any changes, don’t forget to click Save at the top left of the page.

To check what the Accounts Receivable Invoice looks like, click Generate Test Invoice. An example Invoice using the parameters entered is sent to the Browser’s Downloads Folder for viewing.

An example Invoice could look like this:

1. Accounts Receivable Parameters
Check, and if necessary amend, the Free Text for Invoices/Credit Notes, and check, and if necessary amend, the Default Credit Limit and Default Credit Terms.

Don’t forget to Save any changes.

2. Logo
Decide whether to Include the School Logo on Invoices and Statements and, if included, its Position.

3. Remittance Advice Parameters
Decide whether Remittances are to be paid by Cheque or by Bank.
If Payable By Check, select the radial button and include the instructions to be included in the Invoice in the Cheque Payable Details section.

If Payable By Bank, select the radial button and from the drop down select the Bank. The Sort Code and Account Number will auto fill.

Don’t forget to Save any changes.

4. Write Off
Select the Cost Centre, Ledger Code and Fund Code where Write Offs are posted to.
Placing a tick in the Require Evidence box requires the User posting the Write Off to upload an evidence document, for example signed authorisation from the governors, before the Write Off can be posted.

5. Email Settings
Email Settings allows for the selection of the Email Address from which the Accounts Receivable document is sent, a BCC Email Address if required, and the Message Subject and Message Body for the Email to which Invoices, Credit Notes, Statements and Receipts are attached.
