In this guide we’ll look at how to create Assessment Templates specifically to be distributed to other schools in the trust through Vision.
Access: The minimum permissions required to access Manage Templates can be found in the Assessment module from within Config > Setup > Roles & Permissions.
You will also need access to Central – Assessment Templates in your account within Vision.

When creating an Assessment Template to be distributed through Vision, the first thing to consider is the Assessment Components you will be using. When you come to distribute the Template, any Assessment Components used in the Assessment Template that can be matched with existing Assessment Components in the destination MIS will be matched, where this is not possible, the process will create new Assessment Components.
For this reason we would usually recommend that Assessment Components (Assessment Type, Grade Sets, Mark Sets, Subjects, Terms, and Year Groups) are kept in a standard format throughout the Trust wherever possible to make the distribution process as easy as possible. Keeping the Components standard also makes analysis of your Assessment Data in Vision more straight forward.
Important Note: If you have any Assessment Components in the destination MIS that have the same name as in the Central MIS, but with different details (for example if both MIS’s have a Grade Set with the same name but with different Grade Values) they will be updated to match the Assessment Component distributed from Vision which may cause problems if the Assessment Component is already in use in the destination MIS. Check the Assessment Components in the destination MIS’s first, you may need to update the names of the Assessment Components if the above applies.
Start by creating an Assessment Template in your Central System following the steps in How to Create an Assessment Sheet
Once you’ve created and saved the Assessment Template in the Central System, within Vision select Central on the left hand side.
Scroll to the bottom and under Assessment, select Assessment Templates.
Use the tick boxes to the left of the table to select which Assessment Templates you would like to Distribute, then click Distribute.
In the pop-up that appears, use the radio buttons in the School Filters section to choose how you would like to select which schools the Assessment Template will be distributed to. All Schools will give you a list of all the Schools in your trust for you to select from. Phases will filter the list by Phase (e.g. Primary, secondary) School Set will allow you to choose from any School Sets you have set up in Vision (for more information on School Sets please see How to Set Up School Sets in Vision). Then use the Schools drop down to select which specific Schools to Distribute the Template to, by default All Schools in your chosen filter option will be selected.
Once you’re happy click Next.
On the next page, if there are any errors that would prevent the successful distribution of the Assessment Template they will be listed here. You can use the button in the Action column to open the MIS for the School with the error to resolve it. Once you have resolved the error on the Destination Schools MIS, you can then come back to this page and click Refresh All to re-load the errors list. You can continue without resolving the errors, however the Template may not be Distributed to any Schools with unresolved errors.
Once you’re happy click Next.
On the next screen, click Submit.
Then click Proceed on the confirmation message.
You’ll get the following confirmation in the top right hand corner.
Once the Progress Bar reaches 100%, you can either close this window using the X icon in the top right, or you can select View Summary.
View Summary will display each of the Assessment Components used in the Template and whether they were Mapped to an existing Assessment Component or if a new Assessment Component has been Created for each of the Destination Schools.
You have the option to Download Summary in the top right, otherwise, once you’ve finished reviewing the Summary click Close in the bottom right.
