How to manage GDPR Consents

This guide looks at the following GDPR (General Data Protection Regulations) Consent functions in relation to Parental Consent.

The first two sections in this guide reference Lookup Tables, for more information on Lookup Tables see here.

Access: The minimum permissions required to access the Profile>GDPR Consents within a Student Profile are found in the Framework Module>Students from Config>Setup>Roles & Permissions.

Access: The minimum permissions required to access Lookup Tables are found in the Administration Module of Config>Setup>Roles & Permissions.

In order for the GDPR Consent section in the Student Profile to be visible first create the required GDPR Consents Types from Lookup Tables in the Administration Module.

Important: if the GDPR Consents are not created in Lookup Tables then the panel WILL NOT be visible on the Student Profile.

Go to Config>Administration>Lookup Tables

Pathway

From the Admin Lookup dropdown either scroll down to click on GDPR Consents or hit the letter G on the keyboard to go to the top of the Admin Lookups beginning with the letter G.

In the example below 3 GDPR Consents have already been created.

To create a new GDPR Consent click the top left Newbutton.

A right hand panel will appear to Add Administration Lookup.

  • Type in the Lookup Name* which has a Max 10 characters allowed
  • Type in the Description* which has a Max 80 characters allowed
  • Click Create.

In the example you are creating Admin Lookups to be used in the future you can create the record but untick Active, remember to come back to this area to tick Active when the GDPR Consent needs to be visible in the Student Profile.

Likewise if the GDPR Consent is no longer required to be used simply go to Config>Admin>Lookup Table>GDPR Consent select the required GDPR Consent>Untick Active>Save

It is also possible to Delete a GDPR Consent if it hasn’t been used.

For GDPR Methods of Consent, this is the same process as creating GDPR Consent Types as detailed in the previous section in this guide.

Go to Config>Administration>Lookup Tables>Admin Lookup = GDPR Methods of Consent

To create a new GDPR Method of Consents click the top left Newbutton.

A right hand panel will appear to Add Administration Lookup.

  • Type in the Lookup Name* which has a Max 10 characters allowed
  • Type in the Description* which has a Max 80 characters allowed
  • Click Create.

The Student Profile

To access the Student Profile for a single Student type in the name of the Student into the Global Search Tool on the top right of the MIS.

Then click on the required STUDENT name from the list.

Alternatively, click Students in the left hand menu bar to access the Students List Page and select one or more Students.

In the example below 3 Students have been selected.

Click the top left View.

From the top right All drop down select GDPR Consents, notice the Next button at the top of the screen as more than one Student has been selected.

Click the + icon in the GDPR Consents panel

Click +

Then click the + icon to Grant GDPR Consent

Click +

Complete the fields as required, any fields marked with an asterisk* must be completed in order to save the record.

Example completed record below;

For GDPR Consent* and Granted By* it is possible to choose more than one of the displayed options.

Whereas How consent obtained?* is a single choice.

When you are happy with the record click Save.

Once saved you will then have the option to Edit (using the pencil icon) or Revoke (using the no entry icon) the GDPR Consent

Any GDPR Consents that have been revoked will show in the Revoke History tab.
