Using the Curriculum Plan tab within a Timetable use Side Panels to perform the following tasks;
- Blocks
- Blocks side panel three-dot menu
- Blocks side panel differences
- Subjects
- Staff
- Staff side panel three dot menu
- Rooms
- Rooms side panel three-dot menu
- Side panel shared functionality
The minimum permissions required to create a Timetable are found in the Timetable Module from Config > Setup > Roles and Permissions > Choose Role>Edit>Timetable > Timetable App.

Go to Modules>wTimetable>Projects>Click on Project to see the Timetable panel with the tabs below. Click on Curriculum Plan.
Blocks
What is in the planning area is mirrored in the Blocks side panel.
- Blocks in the side panel will show: Block type badge, Block Code, Subject or Group name, Subject colour badges (hover over badge to see the full description), Year Group/Band, and scheduled Periods v Period count
Filter Blocks by Band
View Details button allows the user to see whole Block structure with scheduling information all at once for a Year Group.
The popup displays scheduling information for a Year Group by Band and Block.
- Select the Year Group using the Year Group dropdown.
- Switch between Scheduled and Unscheduled Classes.
- Switch between Subject and Staff information in Classes.
Note: Scheduled Classes use the paler version of the Subject colour
Blocks side panel three dot menu
- Copy Block – gives the option to copy the Block into one of the available Bands in that Year Group. Block Name will read Copy of block [Block Code] if copied into the same Band.
- Edit Block – opens the expanded Block view.
- Edit classcodes for the Block – see Settings > Class Name Definitions > Edit classcodes.
- Delete Block – user will be prompted to Confirm when asked ‘Are you sure you want to delete the whole block? If you proceed all the block’s settings will be lost.’
- Unschedule Block – un-schedule all sessions in the Block in the Scheduling page.
- Spread to bands – allows the user to select which Bands the Block will be spread to and creates a Cross Band Block (a Block that spans more than one Band). The Block will be marked with a green X to show it is now a Cross Band Block.
The Spread to bands option is disabled:
- If a Block is a Cross-Band Block for all the Bands.
- If there is only 1 band in the year group.
- Split to bands – This option is only for Cross Band Blocks. When choosing the Split to bands option, a copy of the selected Block is created in all the bands that were included in the cross-band. This action removes the cross band. If a Block is in only one band, the Split to bands option is disabled.
Blocks Side Panel differences
The Blocks side panel behaves in the same way as Subjects, Staff, and Rooms side panels with regards to the colour coding, filters and the View Details popup in the Curriculum Plan page, however it is different in the following ways:
- Blocks in the side panel display: Block type badge, Year Group and Bands, Subject or Group name, scheduled Periods v Period count, and Subject Code in Subject view / Staff Code in Staff view.
- Scheduled Subjects will appear greyed out, and unscheduled Subjects can be displayed using the Show Unscheduled toggle.
- There are two views – Subject view and Staff view.
Subject view displays the Subject Code in the colour coded cells.
Staff view displays the Staff Code in the colour coded cells.
Subjects
Displays active Subjects from the Project Wizard.
Staff
Displays active Staff from the Project Wizard .
- Subject column – displays the Subjects that have been assigned to Staff.
- Assigned – displays the assigned hours to the Subject in the Curriculum Plan page v the Contact Time assigned to the Subject in the Staffing page. 0/0 will be displayed when no Contact Time is set and no Subject Relationship created.
- Total – displays Total Contact Time for that Staff member from the Staffing page.
- Staff Type dropdown – switches between: Teacher, Other, Classroom Support etc.
- Year Group dropdown – switch off the Staff for all Years Groups toggle to filter by Year Group. The filter shows Staff with Contact Time for that Year Group.
When Staff members are assigned to Classes, the Staff members’ lines in the side panel are coloured based on the following rules:
- Blue: Subject assigned < Subject availability
- Green: Subject assigned = Subject availability
- Amber: Subject assigned > Subject availability BUT Total subjects assigned <= Total availability
- Red: Subject assigned total > Subject availability AND Total subjects assigned > Total availability
Staff side panel three dot menu
- Substitute Staff – to be confirmed
- Display this teacher’s timetable – see Scheduling > Scheduling > View individual timetables – for Staff.
- Swap staff – swap two Staff members’ timetables including Room allocations.
- After selecting this option from the menu for the first teacher, in the Swap staff popup tick the second teacher, and click the blue Swap Staff button.
- In the next screen of the popup, select whether to Swap Room Allocation as well, and click Save.
- Staff members with Conflicts cannot be swapped.
- Room allocation swap is disabled if any of the selected Staff members are assigned to sessions that are scheduled to the same teaching Period and have the same Room assigned.
- Swap staff works for main and additional Staff.
Rooms
The Room side panel lists active Rooms in the MIS.
- Code – Room Code.
- Teacher – Staff Code. If a Room is assigned to multiple Staff members (in the Relationships page) you will see **, hover over to view the Staff Codes. If no Staff are assigned to a Room, then you will see a double dash –.
- Type – Room type.
- Site – Room assigned to this Site.
- Total – total Period Count (no. of Periods over the Timetable Period Structure).
When Rooms are assigned to Classes, the Rooms’ lines in the side panel are coloured based on the following rules:
- Blue: Assigned < Availability
- Red: Assigned > Availability
Note: If a Staff member has an assigned Room:
- When assigning the Staff member to a Class in Curriculum Plan, their preferred Room for that Subject also gets assigned to the Class. If a different Room has already been assigned to the Class, we keep that Room assigned and do not bring in the Staff member’s preferred Room.
- If the preferred Room is already assigned to another Class in the selected Period, we keep the Room for that Class, and bring it in with the Staff member as well .
- When assigning additional Staff to Classes, their preferred Room will not be assigned
Rooms side panel three dot menu
- Substitute room – TBC in future releases
- Display this room’s timetable – see article on Scheduling > Scheduling > View individual timetables – for Rooms.
- Swap room – swap two Rooms‘ timetables.
- After selecting this option from the menu for the first Room, in the Swap room popup tick the second Room, and click the blue Swap Room button.
In the next screen of the popup, click Save.
Non–Contact code NA sessions cannot be swapped.
Side panel shared functionality
- Six dots – denotes drag and drop functionality.
- Edit Subjects/Staff/Rooms/Blocks – generates a popup allowing users to edit rows, Remove, Show Excluded, and Add New.
- Sort by column.
- Search in the whole table.
- Search by column header using the filter icon.
- Use Tool Tip (hover) to see full descriptions in the columns.
