How to manage Staffing in wTimetable

After creating a Timetable within a Project this guide looks at the Staffing tab within the Timetable.

The Staffing page allows users to assign Staff Contact Time (the number of Periods that Staff can teach) to Subjects and Year Groups. This guide covers how to:

The minimum permissions required to create a Timetable are found in the Timetable Module from Config > Setup > Roles and Permissions > Choose Role>Edit>Timetable > Timetable App.

Go to Modules>wTimetable to open Projects>click on your Project Name then click on your Timetable. Staffing is the third tab.

Assign Contact Time

Assign Total Contact Time to Staff

To edit the Contact Time for a member of Staff either select the Edit icon in the row, or double click on the row.

Enter the total Contact Time for that member of Staff, users must select the tick to save.

  • Tip: Assign total Contact Time to Staff when a relationship with a subject is known but not confirmed (to be used in automatic scheduling).

Assign Contact Time to a Subject by Year Group for a member of Staff

Expand the Staff row by clicking on the arrow on the left to see all Subjects assigned to that member of Staff.

Tip: Alternatively click Expand All to display all Subjects assigned to ALL members of Staff in the table.

To copy the total Contact Time into the first Subject row – click on the Update button. This will work for all members of Staff with Contact Time. See Update Rules below.

The example below shows the 30 hour total Contact Time has been copied into the first Subject in the list (Mathematics) for the member of Staff.

Update Rules;

  • For Staff with multiple Subjects, when the Update button is used – the remaining subjects’ Contact Time will not get updated.
  • If the first Subject later gets detached from the Staff member, Contact Times will not change for the remaining Subjects.
    The first Subject Contact Time will only update where it is 0.

To update Contact Time by Year group and for any remaining Subjects – select the Edit icon in each Subject row, or double click on the row.

Enter the Contact Time in hours for the Subject and by Year Group, and select the tick to save.

  • Tip: Curriculum Plan actions will be more accurate if Contact Time is added for both Year Groups and Subjects.

Review the Total Main hours matches the Contact Time per member of Staff.

Note: If the Total Main hours are Red – you will need to review the allocated hours per Subject per Year Group and check that they tally back to the Contact Time for that member of Staff.

Review Contact Time


The bottom two rows in the Staffing page allow you to review the staff contact time versus the number of sessions that are required to be taught.

  • The Total row shows the total Contact Time for ALL Staff in the table. This is the maximum number of sessions that can be taught.
  • When the Filter is used, the Total row at the bottom of the table will NOT change, it will always show Contact Time for ALL Staff.
  • The Subject Info. Total shows the required Contact Time based on the setup in the Subject Information page. It is the entire number of Periods required these Subjects.
    Subject Info. Total = No. of Classes x Period Count (from the Subject Information page).
    It allows you to compare with the Contact Time associated with members of Staff.
    Filter by Subject and it will update.

When a filter by Department and/or Subject is applied the Subject Total for each Year Group is displayed. This helps identify if enough Staff have been allocated to cover the teaching requirement for that Department or Subject.

  • You can Filter and Sort by: Name, Staff Code, Department, Subject, and Contact Time.
  • When the Sort is used for Department and Subject, the sort takes place in the child rows.
  • You can use the Search field to refine the data in the table.
