In this guide, we show How to Post a Non Order Purchase Invoice in MAT Finance. This function is used for Invoices without Orders already on the system.
Access: The minimum permissions required to Post a Non Order Purchase Invoice are found in the Finance Module section of Config > Setup > Roles & Permissions.

To begin, from the left Menu, go to Finance > New Entry > Non Order PI.

Complete the following fields: Supplier, Invoice Date, Invoice Number, Site, and Document Control (£).

Once the details have been entered, click on Add New Record, which is located in the centre at the bottom of the box.

Next, complete the following fields: Cost Centre, Ledger Code, Description, Net Amount, and Tax Code.
Use the Tick under the Actions column to confirm the details.

If further lines are required, press Add New Record and repeat the above step.
Once the Non Order PI matches the Invoice, click Post.

A Notification will show.

Auto Prepayments
Non Order Purchase Invoices can also be posted as Auto Prepayments, ensuring that costs, for example insurance and electricity, are spread across multiple periods and financial years automatically. This feature can be used instead of manual prepayment postings to reduce the risk of errors and to provide improved visibility through enquiry screens and reports.
Follow the steps above but before clicking Post, click the + Icon in the Prepayment line.

Choose a range, then click Apply. Prepayments are automatically split across the selected range.

Decide whether to Confirm the Auto Prepayment.

Prepayments Notes:
- Document Date defaults to the first day of the posting period
- Posting Date shows the actual date the transaction is posted
- If a Prepayment spans multiple financial years, the system moves amounts to the correct ledger
