How to Process the Timetable in Scheduling

On the Scheduling page, the Process Timetable button publishes the Timetable data back to the MIS. All Conflicts must be resolved before this process can be carried out. The following Project entities are exported and saved in the corresponding MIS tables:

  • Year Groups
  • Subjects
  • Departments
  • Staff members
  • Rooms
  • Non-Contact Codes

The minimum permissions required to create a Timetable are found in the Timetable Module from Config > Setup > Roles and Permissions > Choose Role>Edit>Timetable > Timetable App.

Go to Modules>wTimetable>Projects>Click on Project to see the Timetable panel with the tabs below.

The red Process Timetable button is visible on top right of the Scheduling tab.

Click on the Process Timetable button.

If there are any unresolved Conflicts, the user will see the following popup:

Click Go to Conflicts which will open the Conflicts popup and the user will need to resolve the outstanding Conflicts.

Click on the Process Timetable button again.

If there are any unscheduled sessions, the user will see the following popup:

Click Process to start the publish flow.

Observe the Process Timetable progress bar reach 100%, the user will see the following popup:

Clicking Close will return the user to the Timetables page. Processed Timetables receive a Processed flag in the Status column and Edit action is disabled.

Clicking Continue will open, in a new tab, Modules > Curriculum > Routines > Apply Timetable Model page. Select the Timetable Model from the dropdown list.

  • Tip: If the user receives a Processing Failed! message after step 8, click View Details in the message to open the Process Failed popup to see the conflicting values. Correct the conflicting entities or remove them from the Timetable and go back to step 5.

Note: Published timetables have to be copied if we would like to view or edit them. If we copy a published timetable, we won’t include the “Processed” flag for the copy.
