How to Set Examination Configurations

Use this guide to learn about the following nine panels within Configurations in the Examination Module.

Access: for the minimum permissions required to access Configurations go to Config>Setup>Roles and Permissions and choose Configurations from the Examination Module drop down

Permissions

Tip: In order to access the panel you will need to have an Active Season defined.

Go to Config>Examination>Configurations. Note: the system will ask you to define the Active Exam Season if you have not already done so.

Pathway

Example
  • School Centre Number : type in your School Centre Number or check it is correct
  • Default Entry Mode: choose from C:Centre Entry or P: Private Entry
  • Reason for change: set as On or Off for amendments to exam entries
  • Middle Names in Submission File : choose to include middle initial or full middle name.
    • Candidate Examination Entries are submitted using the Candidate Legal First Name and Legal Last Name, this information comes from the Students Profile via Students>View>Profile>Edit Basic Details.
    • Tip: The setting and name stored at the point of creating the Submissions file will be used.
  • Special Candidate Extra Time Managed as: choose either Percentage or Fixed Tiem
  • Once a candidate is seated they are: choose from Removed from the list once seated or Left in the list once seating.
  • Include Exam Code in Reports : tick as required.
  • Show Only Active Seasons Entries on Candidate Details Page: tick as required, this relates to the Student Profile
  • Show Only Active Seasons Results on Candidate Details Page: tick as required, this relates to the Student Profile
  • Exam Sheets Autosave: if you are using Exam Sheets for Entries tick to Auto Save as entries are inputted.

Default Candidate Name Format

Use this panel to define how your Candidates are displayed in Examinations

Example

Choose from the Name Format Fields drop down to define the order in the Name Format Editor.

Results Columns for Display

Use this panel to select the items you wish the system to display in Manage Candidates>Select Candidate>Edit>Candidate Results section.

It is recommended that you choose no more than 8 items.

Default Sort Order

Use this panel to choose the Default Sort Order for Candidate, Component and Exam Options

In the example above Exam Options are set to Order by Code

Then as an example from Modules>Examination>Manage Entries>Select Candidates>Manage note the Exam Options are sorted by Code

Auto Complete Display Items

Please disregard this panel, as the corresponding part of the database no longer requires these configuration to be defined.

Sitting Start Time

Use this panel to define the Sitting Start Time for examinations at various times of the day.

IMPORTANT: Please be aware if you Refresh the Basedata then the Start Times will revert back to the times set by the Examination Boards.

Create Default Text Entries and Timetables

Use this panel to define the displayed text on the Candidate Entries and Candidate Timetable Reports.

The Default Text shows on the following two Entries reports

Create Default Text for Results Reports

Use this panel to define the Default Text on the following results report; Reports>Examination>Results by Student.

Additional Centres

Use this panel to define Additional Centres simply click Add New Centre Number and complete Centre Name, Centre Number and Active status, click the floppy disk icon to Save.
