This guide will show you how to configure your Partner School for the use of Virtual School. A Partner School is the school to which the students are enrolled.
Access: The Permissions required to access Virtual School can be found in the Setup Module from within Config > Setup > Virtual School Configuration.

Opening the Setup Option
From the left Menu go to Config > Setup > Virtual School Configuration.

Setup Configuration Options

When the Configuration Options page opens it will display three radio buttons, make sure the Partner Schools option is selected.
Beneath is the Data Exchange Key, this is securely generated for each school and will be unique to each school.
Make a note of the Data Exchange Key as this will have to be sent to the Virtual School Administrator.
Beneath this is the Academic Year dropdown menu, this is not multi-year and will work for the selected Academic Year only, select the year the data is to be exchanged for.

Adding Offered Classes
Config > Setup > Virtual School Configuration
Any Class that your Students attend or are part of must be offered. Generally, this includes all Classes within the Year Groups you are sharing.

This will display the Group Selector box, either enter the Class name or click on the Find button to multi select the Classes.

Once the Classes have been selected, click the Done button to add them to the Offered Classes list.
They will now be displayed in the Offered Classes section.

To remove Classes from the list, highlight one or more Classes and click the Remove button, a Confirmation Message will be given click the Cancel or Proceed button. Only the Classes shown in the Selection List will be listed in the Offered Classes section.
Please ensure to click SAVE at the top of the page once the list is finalised.
The Partner School controls the Timetable changes within their own school, which are automatically imported into the Virtual School once the Sync runs either per the schedule or manually.
Note when changes are made this should be communicated to all the other schools, by a method decided by the Virtual School Administrator, as students may need to be informed of room or time changes etc.
Adding Outplaced Students
Config > Setup > Virtual School Configuration
Outplaced Students are the Students that are either going to one of your Partner schools for one or more of their Classes, or who are part of Classes that you’re offering. Generally, you will select all Students in the Year(s) you’re sharing.
To add Students, click on the Add button.

This will display the Student Selector box, either enter the Student name or click on the Find button to multi select the Students.

Once the Students have been selected, click the Done button to add them to the Outplaced Students list.
They will now be displayed in the Outplaced Students section.

To remove Students from the list, highlight one or more Students and click the Remove button, a Confirmation Message will be given click the Cancel or Proceed button.
Once the Configurations have been completed click on the Save button to Save.
The Partner School controls all Student changes within their own school, which if updated will automatically be imported into the Virtual School.
Note when changes are made this should be communicated to all the other schools, by a method decided by the Virtual School Administrator, as staff may need to be informed of changes to class numbers etc.
Once completed the Partner School will have completed their setup.
