How to Transfer Students Through Vision

In this guide we’ll look at how you can use Vision to transfer Student Details between Schools. This can be used in the case that a Student will temporarily require a Record at another School in the Trust, for example if they are sitting an Exam at a different School. Or, in the case that a Student is moving from one School in the trust to another but remaining in the same Year Group.

Access: In order to follow the below process you will need access to Student List in your Vision account.

Within Vision go to List > Students.

Pathway

Find the Student(s) to be transferred in the list. You can use the Filters and the Search in the top left to refine your search.

Once you’ve located the Student(s) in the list, select the ones to be transferred using the tick boxes on the left. Then select Actions > Transfer Data.

In the pop-up that appears, on the left hand side the School and Year Group information will be pre-populated based on the Students you have selected. In the Destinations section on the right hand side select which School you would like to transfer the data to.

In the Data Area screen, under the Data Transfer Types section, select either Attending School as a Guest or Transferring to Another School Within the Same Trust. Both options will create a Student Record with the Enrolment Status of Guest and a Start Date of Today on the Destination School, however if you select Transferring to Another School Within the Same Trust it will also transfer CTF Attendances.

In the Data Area section, select which types of data you would like to transfer using the tick boxes.

And then at the bottom of the screen select which Criteria to match on, should there be an existing record for the Student in the Destination School. Legal First Name – Legal Last Name – Sex – Date Of Birth – Curriculum Year Group will be selected as priority 1 by default, this cannot be changed, but you can add further Matching Criteria using the toggles. Once you’re happy click Next.

The Review screen will display the information to be transferred, you can check if there are any errors by expanding the groups and checking the Status. When you’re happy click Next.

On the next screen click Submit.

Click Confirm on the following message.

You’ll see the following confirmation in the top right.

Once the Progress Bar reaches 100% you can close the window using the X icon in the top right hand corner, alternatively you can click View Summary.

View Summary will show a Summary of the data. Which you can then Download using the Download Summary button in the top right or Close the window using the Close button in the bottom right.

The Student Record will now have been created as a Guest Student on the Destination School with a Start Date of Today. If Guest is not the correct Enrolment Status for the Student or you need to change the Start Date you may need to manually amend their Enrolment Status in the Destination School for more information on how to do this please see How to Change a Students Enrolment Status.
