In this guide, we show how to use the Workflow Manager in the MAT Finance Module.
Access: The minimum permissions required to use the Workflow Manager are found in the MAT Finance Module section of Config > Setup > Roles and Permissions.

To begin, from the left Menu, go to Config > Finance > Workflow Manager.

Existing Workflows are displayed. Pay particular attention to the Active column, to see which Workflows are currently Active or Inactive.

To create a New Workflow, click New.

In the pop up at the top, complete the mandatory asterisked fields:
- Name the Workflow
- Decide whether the Workflow is Active or Inactive
- Select a Priority
- Select the Document Type
- Choose which Sites the Workflow applies to – multiple Sites can be selected

Next, complete the bottom section of the pop up. This determines Who can approve the Document Type for the selected Site(s). Asterisked fields are mandatory.

Approval amounts can be Stepped. To add an Approval Step, click Add Approval Step. As many Approval Steps as required can be added.

If No Limit is ticked, no further Approval Steps can be added. The Red Cross removes the Approval Step. When complete, click Save.

To add Advanced Steps, move the Advanced toggle to the right. It is then possible to add Advanced Steps to the Workflow. Note the choice of Action in the drop down: Notify or Seek Approval.

As many Advanced Steps as required can be added. This allows for responsibility to be distributed according to specific Cost Centres, as in the example below. Don’t forget to click Save when finished.

The newly added Workflow is displayed in the table.

To View or Edit an existing Workflow, click on it to select it and then click View/Edit.

Make any required changes and then click Save.

To Remove an existing Workflow, click on it to select it and then click Remove.

Confirmation of Removal is required.

The system will not allow the Removal of Workflows that have Pending Approvals using them.
