How to Withdraw a Candidate from an Exam

In this guide we’ll look at how you can Withdraw a candidate from an exam that they were previously Entered for.

Access: The minimum permissions required to access Manage Candidates can be found in the Examination module from within Config > Setup > Roles & Permissions.

Withdrawing Individual Candidates

Go to Modules > Examination > Manage Candidates.

Use the Season drop down in the top right hand corner to select the required Season then double click on the Candidate to open their Candidate Profile.

Scroll down to the Candidate Entries panel, select the Exam that you need to Withdraw them from, and click Edit.

In the pop up that appears, select W from the Entry Mode drop down, and then select the Reason for Change from the drop down. Once you’re happy click Save.

The system will then create an amendment file that you will need to submit to the exam board. For more information on how to do this please see How to Manage Exam Entries/Submit Entry Files

Withdrawing Candidates By Class

Go to Modules > Exams > Manage Entries .

Use the Season drop down to select the required Season.

Select Actions > Manage Entries by Class

This will open the Group Selector, it will load all of the currently active Teaching Classes. You can use the filters on the left to refine the list, if you update any of the filters click Find to update your search. Find the Class or Classes you would like to withdraw entries for and select them by clicking on them once so they highlight blue. Once you’re happy click Done.

On the next page, select Add Option Code.

In the Option Selector select the Option Code for the Exam you would like to Withdraw Entries for and click Done.

The current Entry Code for each of the Students will then appear in the table in the bottom half of the page.

If you would like to Withdraw all selected Students from the selected Exam Option Code, you can click Withdraw All at the top of the screen.

Then click Proceed.

The Entry Codes will then be removed from the table.

Click Save across the top.

Alternatively, if you only want to withdraw a selection of the Students in the Class you can use the tick boxes to the left of the Student Names to select the Students you would like to Withdraw.

From the Entry/Grade drop down, select W, then click Apply.

The Entry Code on the right hand side will then update for the selected Students.

Once you’re happy click Save at the top.

The system will then create an amendment file that you will need to submit to the exam board. For more information on how to do this please see How to Manage Exam Entries/Submit Entry Files
