Use this guide to resolve School Census Error 3100
DfE Validation:
For all schools phases, the following criteria for 3 year olds applies:
ExtendedHours> must only be present for 3 year olds where DOB is as follows:
- Autumn: For pupils born between 2022-09-01 and 2023-08-31(inclusive)
- Spring: For pupils born between 2022-09-01 and 2023-12-31 (inclusive)]
- Summer: For pupils born between 2022-09-01 and 2024-03-31 (inclusive)
- AND <EligibilityCode> is present
For all school phases, the following criteria for 4 year olds applies:
ExtendedHours> must only be present for 4 year old where: [<NCyearActual> equals ‘E1’, ‘E2’, ‘N1’ and ‘N2’]AND [DOB is as follows:
- Autumn: For pupils born between 2022-09-01 and 2023-08-31(inclusive)
- Spring: For pupils born between 2022-09-01 and 2023-12-31 (inclusive)]
- Summer: For pupils born between 2022-09-01 and 2024-03-31 (inclusive)
- AND [<EligibilityCode> is present]
Extended childcare hours have been entered where pupil is not in the eligible age range or year groups ‘E1’, ‘E2’, ‘N1’ or ‘N2’, or does not have a valid 30-hour code
Explanation:
- Extended childcare hours must only be entered for Students age 3 or 4 ( see date of birth ranges applicable for each census above), in year groups E1, E2, N1 or N2 AND who have a Eligibility Code present.
- To amend the Extended Childcare Hours got to Modules>Census>School and click on the required return>Edit> Pupil Reconciliation Panel>Extended Childcare Hours>Save & Validate.

Go to Modules>Census>School>Click on the required Return>Edit
Then scroll down to see the Pupil Reconciliation panel, this panel will only be visible if Students under the age of 5 are on roll with a valid UPN.
If the Extended Childcare Hours figure is incorrect you can type in the 0.00 box to correct it.
Then click Save & Validate at the top of the Census screen.
IMPORTANT in order for the resolved error/query to be removed from the list of errors/queries you would need to generate a new Census return and remember to use save & validate for the errors/queries to update/clear.
