Use this guide to resolve School Census Query 1620Q
Error 1620Q:
DfE Validation:
- There should be no two or more pupils (that is: including both PupilOnRoll and PupilNoLongerOnRoll) with the same <Surname>, <Forename>, <Sex> and <DOB>
- Please check: duplicate pupil records with the same Surname, Forename, Sex and Date of birth
Explanation:
- To check if there are Student records both on roll and off roll with the same Surname, Forename, Sex AND Date of Birth go to Students>Add/Remove Additional Columns and select Gender and DOB. You can then click on a column headers to sort the Student List Page.
- Tip: Click the top right Green X icon to export the Student List Page if required.

To check for Students with the same Surname, Forename, Sex and Date of Birth
Go to Students then click on the column header to add Gender and DOB>Save
To see off roll Students click on the top right Search Filters and change the Status to Leaver then add the columns as normal.
IMPORTANT in order for the resolved error/query to be removed from the list of errors/queries you would need to generate a new Census return and remember to use save & validate for the errors/queries to update/clear.
