Setting Up a Future School Trip in The Next Academic Year

This guide will show you how to setup a Club/Trip that takes place in the next Academic Year.

Access: The minimum permissions required to create a Trip are found in the Framework Module of Config>Setup>Roles and Permissions.

If a Trip is scheduled for the next Academic Year and the school wants parents to sign up and start making payments now, follow these steps:

1. Set Up the Next Academic Year

The Curriculum Manager or the person responsible for system setup must create the next Academic Year in Bromcom.

2. Create the Trip in Bromcom

  • Go to the Clubs & Trips Homepage via Group Type within the Groups Page.
  • Click the purple New button and enter the trip details.
  • Ensure the End Date reflects the next Academic Year and allows enough time for the school to manage payments and chase outstanding balances. See below image.

3. Key Considerations When Setting Up a Future Trip

Live on MCAS Dates

This defines how long parents can book the trip. Once the End Date passes, the trip will only be visible to parents who have already booked. These dates can be set to extend into the next academic year.

Associated Group Details

If students are attached by Year Group, this must be updated once the system transitions into the new academic year. Example: A Year 10 trip may be visible to students who were in Year 9 when booking opened. Alternative Method: Create a Reporting Group of the relevant students to avoid manually updating year group settings each year. Use our guide on How to Create a Report Group to assist you with this.

Ensure the Trip dates reflect when the event will take place in the next Academic Year.

Save the page and extend the Trip to the parents
