Student & Staff Document Types

This guide will advise you on the difference in Student Document Status Types. In Bromcom MIS, documents are classified into three main types based on their visibility and access. These can be added via:

Student Details > Profile > SEN Document List

Student Details > Health Background > Health Document List

Student Details > Documents > Document List

Staff Details > Documents > Document List

The different Document Status Types you will find are as follows:

Private – These are documents that only the uploaded individuals can see. Typically used for personal notes or restricted records.

Public – These are accessible to all relevant users within the system, such as general policies, school-wide resources, or shared reports. Anyone with access to this area of the MIS can see the Document (default)

Confidential – These have stricter access controls and are only visible to authorised users with specific permissions. Examples include Safeguarding Records, Sensitive HR files, and restricted student data. Access to this type of Document will be provided via a permission in Config > Setup > Roles and Permissions page:

  • For staff: Under Framework > People > Staff > New Staff Details > Documents > Document List > Staff Access to Confidential Documents,andNotes > Staff Access to Confidential Notes.
  • For students: Under Framework > People > Students > New Student Details > Documents > Document List > Student Access to Confidential Documents, and Notes > Student Access to Confidential Notes

Permissions for these categories are managed through user roles and settings, ensuring the right level of access for different users.

The different Document Types such as Health Background, General etc will All appear under Document List. However, they will not all appear under the Document List on other tabs such as Health Background tab. For example, if you go to Health Background > Document List, you will only be able to use the Document Type Health Background when uploading documents there.

Note: It is possible to add new Document Types via Config > Administration > Look up tables. If you wish to do this then please see our guide on How to Edit Lookup Tables

When adding a Document, a new dropdown has been added labelled Document Status Type, and a Notes text box has been added. Access to the Document will depend on the Document Status Type selected:
