You can use this guide to help you if Students are not showing in your Pupil Reconciliation Panel on Census
The Pupil Reconciliation Panel may look like this even if your students are under the age of 5:

Note: If your Students are under 5 years old as of the Census Reference Age Check, then they must be in Year N1, N2, E1 or E2. Pupils must NOT be in Year R.

Note: The above screenshot is relevant to Summer Census 2025. Any future Census may have different specifications. Please check the DfE specifications for the Census you are running.
Things to check as to why they may be missing from this panel:
- Check the Student has a UPN
- Check the Student is in a valid Year Group for their age as per the DofE Specifications

Check the Student has a UPN
Navigate to the Student profile > Enrolment and then check the Key Data Panel to the right hand side to see if the Student has a valid UPN. The active UPN is also displayed at the top of the Student profile in the basic details panel

If it is missing or needs to be amended, then please see How to Amend & Add a UPN.
Check the Student is in a valid Year Group for their age as per the DofE Specifications
Navigate to the Student profile > Enrolment and then scroll down to Year Group Membership(s)

Check the year group falls in line with the DfE specifications here. Remember, they must be in Year N1, N2, E1 or E2. Students must NOT be in Year R if they are under 5.

IMPORTANT : You will need to generate a new Census return after correcting these memberships for the changes to take affect. Remember to use Save & Validate once happy with the page so they changes hold for the next Census run you do.
