How To Use The Running Balance Statement Report

In this guide we’ll look at how to use the Running Balance Statement Report including how to run it and what information is included.

Access: The minimum permissions required to access the Running Balance Statement Report can be found in the MCAS module from with Config > Setup > Roles & Permissions.

To run the Running Balance Statement Report go to Reports > MyChildAtSchool > Running Balance Statement Report

Pathway

On the Report Parameters screen, start by selecting the Start Date and End Date that you would like to run the report for.

Next, select the Student(s) you would like to run the report for, either by searching for them in the Student Name box or clicking Find to open the Student Selector.

Once you’ve selected the Students you would like to report on, select the Group(s) you would like to report on, either by searching for them in the Group Name box, or by clicking Find to open the Group Selector.

If you would like to see a detailed breakdown for each Student tick the box labeled Include Statements for each Student.

The first page of the Report is split into 2 sections – Summary and Account Balances.

In the Summary section you will see an overview of the total Balance for the selected Groups, across all Students with a membership in the Group (Note: The figures in the Summary section are not restricted to just the selected Students.)

In the Account Balances section you will see a brief overview of the Balances for each of the Students you selected, including a total across all selected Groups as well as a breakdown of their Balances per Group.

On the following pages, if you selected Include Statements for Each Student, you will see a detailed breakdown of the Balances for each of the selected Students. At the top, in the Summary section, you will see an overview of the number of Sessions the Student has been registered for, the cost for those sessions, how much the Parents have paid in to the Running Balance Club and what their Outstanding Balance is.

Note: The Outstanding Balance will be positive if they are in credit, negative if they have accrued a debt.

In the Session Breakdown section you can see the date of every Session they have been registered for and the charge associated with that Session.
