FAQ’s For Transferring to Bromcom Finance Mid Financial Year

When can I transfer?

All transfers must occur at the end of a VAT Period.  During your Finance Discovery the Finance Team will discuss the most appropriate time to complete this and agree dates where transactions must stop in your previous system, a timeframe to submit the configuration documents and an estimated Go Live date.

Please note – If transactions have been added to your previous system after the agreed cut off date, the transfer window cannot be adhered to and must be postponed until the end of the following VAT period.

Will any historic data be transferred?

When transferring mid Financial Year from a compatible system, we are able to use a series of imports to create a Bromcom Finance site with a starting position that will match the closedown figures of the previous records.  The data is limited to journals and balances only and you will not be able to interrogate the data in the same way, for example, to check when an invoice was paid.  This is for current Financial Year only and will not include any other historic data.

What will happen with unreconciled Bank transactions?

Should there be any unreconciled Bank transactions we can account for these within the transfer but this will not contain all of the detailed information as recorded in the original transaction, just basic values against the bank.

What will happen with outstanding debtors and creditors?

For a smooth transfer it is advisable to keep all debtors and creditors to a minimum.  Should there be transactions very close to closedown of a previous finance system that will not be settled before closedown, we would advise that these would need to be cancelled and added to Bromcom as the first transactions to avoid unsettled items in the debtors and creditors accounts.

When can I start using Bromcom Finance?

Transactions cannot begin until the system has been verified against the previous system closedown, following verification an official handover will take place and transactions can begin on the day of handover if required.

Will I be able to see details of invoices?

No, transaction details come through at journal level and therefore do not include all of the details contained within the original transaction recorded in the previous Finance system.

Will Purchase Orders transfer?

No, Purchase Orders do not have a journal to allow for the transfer.  Open Purchase Orders can either be manually entered into Bromcom or raised at Invoice stage only as Non-Order Invoices (using the open Purchase Order Number as a Narrative).

Will Commitments transfer?

No, Commitments do not have a journal to allow for the transfer.  Once full Staffing Configuration has been complete your Customer Success Manager can support with reviewing the Salary Commitments.

Can I still use my old system whilst Bromcom Finance is being built?

No, the agreed end date must be adhered to which ensures that verification/validation of the data can occur.  The starting position of Bromcom should match the closedown figures of the previous records.

Can I transfer my Suppliers?

Yes, the transfer of suppliers is simple.  Should you have any historic ones you no longer wish to use, there is a simple delete function in Bromcom.

Can I transfer my Customers?

No, unfortunately we do not have an import function for Customers.

Should I cleanse my data in FMS or wait until everything is in Bromcom?

Deletion of Cost Centres/ Ledgers / Ledger Links is simple in Bromcom if they have not been used.  Please complete the data cleanse in Bromcom after handover to avoid unnecessary journal import failures.

Will I need to inform my bank of the change?

No, we collect information about BACS and cheques in the configuration document, provided you have completed this section you will be able to follow the same processes currently used with your banking provider and they will not require notification of the change.

What ongoing support do I receive after the system is handed over?

If you have opted for Bromcom support you will receive 4 transition calls with your Customer Success Manager in addition to our dedicated Finance Support Helpdesk.  Following Transition you will continue to have access to our Finance Support Helpdesk, Training Materials and Documentation Centre.
