How Bromcom Handles Payments for Schools

This guide outlines the process followed by the Bromcom Accounts team to process and distribute payments and refunds for schools using Bromcom Online Payments within the MIS.

For further guidance on Online Payments see here.

Payment Process

Parent payments are collected into a secure central processing account before being transferred to the school’s nominated bank account.

Weekly Payment Cycle

StageProcess
1A parent makes a payment through the Bromcom Online Payments portal.
2The transaction is recorded within the school’s Bromcom MIS.
3Transactions are included in the weekly payment run up to midnight every Wednesday.
4The Bromcom Accounts team processes the payment run.
5Funds are sent to the school’s bank account via BACS every Friday.
6A BACS remittance report is emailed to the school detailing all payments and refunds processed during the reporting period (Thursday to Wednesday).

Payment Timescales

Payments are submitted via BACS every Friday. As BACS transfers can take up to three working days to clear, funds should normally arrive in the school’s bank account by the following Tuesday.

BACS Remittance Report

A BACS remittance report is generated for each weekly payment run and includes all payments and refunds processed during the reporting period.

The report is sent to the email address configured in:

Config > MCAS > Online Payments using the BACS Remittance Delivery Email Address field.

Weekly Payment Scenarios

ScenarioOutcome
Weekly total is greater than £0A BACS payment is made and a remittance report is sent.
Weekly total is £0 (no payments or refunds have taken place)No BACS payment is made and no remittance report is sent.
Weekly total is £0, but there has been payments, e.g. £100 of payments and £100 of refunds. No BACS payment is made however, remittance report is sent.
Weekly total is less than £0 (i.e. more refunds exceed payments)A remittance report is still sent, showing the negative balance.

Multiple Bank Accounts

Weekly payment totals are calculated per bank account, rather than per school.

Where a school has multiple bank accounts configured, a single BACS remittance report is produced covering all applicable transactions.

This format separates the operational process, timescales, reporting, and exceptions, making it easier for both schools and support staff to follow.
