How to Configure Exam Rooms Cover

In this guide we’ll look at how to configure Exam Rooms Cover. This process enables the user to see Rooms being used for Exams in the Arrange Cover screen once the Exams Filter has been ticked.

IMPORTANT: Best practice when closing rooms for examinations is to use EITHER Exam Rooms Cover as detailed in this guide OR Room Closures in Cover. Using a combination of the two processes for the same room may cause errors as the Exam Rooms Cover process takes priority and effectively cancels out the Rooms Closures in Cover process.

Access: The minimum permissions required to access Exam Rooms Cover can be found in the Cover module from within Config > Setup > Roles and Permissions.

Configurations

From the left Menu go to Config > Cover > Exam Rooms Cover.

Pathway

The Exam Rooms Cover area gives various options in relation to the covering of an Exam.

If you would like the Exam Rooms that require Cover to be added automatically Tick the corresponding box.  

Automatically add rooms

Next you can define the Number of minutes to allow before exam starts, followed by the Number of minutes to allow after exam end.

Example Configuration

Finally define a Default period range to cover needs to be selected, this will be the period range the covering member of Staff will Cover.

Once you have defined all of the above settings, you can save the changes using the Save button.

Arrange Cover

Within Arrange Cover there is a setting that allows you to view Exam cover. Go to Modules > Cover > Arrange Cover.

IMPORTANT: Click the filter icon in the top right hand corner and tick the Exams box in the Display section.

If you only want to look at Exams Cover then ensure Staff, Rooms and Special Events are unticked. Once you’re happy click OK.

This will update the Arrange Cover screen to display Exam Cover. For more information on how to Arrange Cover please see How to Use Arrange Cover.

In the example below for Thursday 15th May 2025 we have ticked Room in the left hand panel in Arrange Cover

The GCSE Mathematics 8300/1F exam held on the 15th May 2025 has all candidates seated in Room 10 and Exam Rooms Cover has been set up.

Exams has been ticked in the top right filter on the Arrange Cover grid.

We can see that for Period 1 & 2 the Year 10 English class needs moving to another Room
