How to use the Communication Log in the Student Profile

Use this guide to learn about the following processes in the Communication Logs panel in the Student Profile.

If using the parent portal MCAS (MyChildAtSchool) then notifications can be configured to automatically add Inbound and Outbound messages to the Student Communication Log, see here for more guidance.


Access: the minimum permissions required to access the Communication Logs in the Student Profile are found in the Framework>Student Module from Config>Setup>Roles and Permissions

Permissions

Go to Students>click to Select Students>View, you can select more than one Student if required.

Select Students

Then click on the Communications tab in the left hand column to see the Communication Logs panel.

Add a Communication Log

Click to top right + icon to Add Communication Log.

Then complete the required fields (all fields marked with an asterisk* must be completed to save the record)

Click Save.

There is also the function to edit a Communication Log. IMPORTANT: please note a log that has been automatically added via sending an email CANNOT be edited only deleted.

Outbound

Below is an example of an Outbound Communication Log, for example reception has telephoned a students mother.

Outbound is when the Communication was sent OUT from school i.e. School to Parent

Another example could be reception left a message on mum’s answer phone.

Inbound

Below is an example of an Inbound Communication Log, Inbound is when the Communication came INTO school i.e. Parent to School

Panel Functions

Search : Use the top left Search box to Search for Communication Logs, please check the Type from the Show drop down when searching as it’s not possible to search Inbound AND Outbound at the same time.

In the example below we have typed school into the Search and the Type is Inbound

Sort: Sort the Communication Logs by clicking on the column headers, in the example below we have clicked on the Date header

Send an SMS or Email

To send an SMS or Email to a Student contact from within the Communication Logs panel click the top right envelope email icon.

This will load the Send SMS and Emails panel, for more information on this process see How to Send and SMS or Email.

IMPORTANT: please note a log that has been automatically added via sending an email CANNOT be edited only deleted.
