How to Use Budget Profile Models

In this guide, we show how to create and use Budget Profile Models within the Finance Module

A Budget Profile Model is the phasing, or splitting up, of an Annual Budget by Period. This could be quarterly amounts, equal monthly amounts, or many other possibilities. Once set up, Profile Models can be used when allocating Budgets to Cost Centres and Ledger Codes

To begin, go to Modules > Finance > Maintenance > Profile Models

The available Profile Models are displayed. Click New to add a New Profile Model

Give the Profile Model a description and specify the number of Periods

Once the Profile Model is named and the number of Periods specified, values can be allocated to the Periods. There are three ways this can be done:

1. The Allocation Value (%) boxes can be filled in Manually. This allows for a specific distribution across the year. Manually entered amounts can have up to two decimal places, for example 8.33. When complete, the % Remaining must equal 0%

Note: Periods must be selected by clicking on them to enter values into the Allocation Value (%) boxes

2. The Spread Remainder button can be used. It functions in two ways. One: with No Allocations in any Period, the Spread Remainder button evenly spreads 100% across all Periods. Two: with Manual Allocations in some Periods, the Spread Remainder button evenly spreads the % Remaining across the Periods that have a zero value

3. The Even Spread Selected button evenly spreads the % Remaining across any Selected Periods. It is possible for unselected Periods to have had Manually Entered values allocated to them

Use the Clear Allocations button to clear the allocations and start again

Click on the Save button to Save the Profile Model

A Profile Model that Has Not Been Used can be Deleted by returning to Modules > Finance > Maintenance > Profile Models, selecting the Profile Model to be Deleted, and then clicking Delete

Note: A Profile Model that Has Been Used cannot be Deleted
