In this guide, we will show you how to:
- Send Email messages to Students, Staff, and Student Contacts
- Send SMS messages to Students, and Student Contacts
from Vision via the Master MIS.
IMPORTANT: Messages sent via this method from Vision will NOT be visible on the individual schools. This includes the Communication Log on the Student Profile, as well as the Communication module, and SMS/Email History Reports. This will be included in future releases.
Note: Emails and SMS sent from Vision are displayed in the Vision > Analysis > Communications page, and in the Master MIS Modules > Communication > Overview.
Note: SMS and Email credits will come from the Master MIS.

Access: To carry out this task, you will need the following permission from within the Vision > Admin > Roles.
Vision > List > Students
Send Email messages from Vision
Click on the Actions button and select Send Email – HTML or Send Email – Plain Text from the dropdown.
Note: You can select Students from the table before this step, or select the Students in the wizard.
Complete the four step wizard.
Step 1 Select Recipients – select the schools and either the Students, Student Contacts, or Staff using the dropdowns. Click Next.
Step 2 Compose –
- Template: Select a Template from the dropdown (optional) if a Template has been created in advance. A preview of the template will appear in the Message box.
- Subject: Enter a Subject (populated if you select a Template).
- Dynamic Fields: Select the relevant fields to personalise the Message such as Student Fullname or Student Tutor Group.
- Compose the Message (populated if you select a Template). The message menu options are only available in Send Email – HTMl (not Send Email – Plain Text).
- Attachments can be added to Email messages.
Click Next.
Step 3 Message Settings – Recipient Type: Students
- Switch the toggle to only include students who are 18 or over.
- Select the Priority Level of the email address that you wish to receive the email message (single select).
Click Next.
Note: The phone and email priority can be found in the Phone & Email tab of the MIS > Student Details > Profile > Edit Student Contact Details.
Step 3 Message Settings – Recipient Type: Student Contacts
- Consolidate multiple messages toggle is default to on. The recipient will only receive one message rather than one message per student.
- Send Parental Responsibility contacts only toggle is default to on. Only Student Contacts who are marked as having Parental Responsibility will receive the communication.
- Select the Priority Level of the email address that you wish to receive the email message (single select).
Click Next.
Note: The phone and email priority can be found in the Phone & Email tab of the MIS > Student Details > Profile > Edit Student Contact Details.
Step 3 Message Settings – Recipient Type: Staff
- Consolidate multiple messages toggle is default to on.
- Select the Priority Level of the email address that you wish to receive the email message (single select).
Click Next.
Step 4 View Recipients – allows you to view the recipients by name and how many students in this list will receive an email.
- Preview – to see a preview of the message per recipient. (see below).
- Prev – takes you back to step 3 Message Settings.
- Cancel – closes the wizard and takes you to the Student List.
- Send – Confirm you would like to send the email to the recipients.
Preview: use the arrows to move to the next/previous recipient.
- Prev – takes you back to step 4 to View Recipients.
- Edit – takes you back to step 2 to Compose the message.
- Cancel – closes the wizard and takes you to the Student List.
- Send – Confirm you would like to send the email to the recipients.
Send SMS messages from Vision
Click on the Actions button and select Send SMS.
Note: You can select Students from the table before this step, or select the Students in the wizard.
Complete the four step wizard.
Step 1 Select Recipients – select the schools and the Students or Student Contacts using the dropdowns. Click Next.
Step 2 Compose –
- Template: Select a Template from the dropdown (optional) if a Template has been created in advance. A preview of the template will appear in the Message box.
- Dynamic Fields: Select the relevant fields to personalise the Message such as Student Fullname or Student Tutor Group.
- Compose the Message (populated if you select a Template). A tally of the characters and credits will appear at the bottom of the message.
Step 3 Message Settings – Option 1 Recipient Type: Students
- Notify by Mobile – Select to send the message to a Mobile, then select the Notification Priority.
- Notify by Landline – Select to send the message to a Landline , then select the Notification Priority.
- Switch the toggle to only include students who are 18 or over.
- Only include mobiles marked to receive text messages – Will only send to these mobiles.
- Select the Priority Level of the Mobile that you wish to receive the SMS message (single select).
Step 3 Message Settings – Option 2 Recipient Type: Student Contacts
- Send Push notification for mobile app users – Select to send a push notification to mobile app users. The Emails & Push Notifications panel on the Trust Communications Overview dashboard displays the number of push notifications sent to student contacts from schools in a Trust.
- Notify by Mobile – Select to send the message to a Mobile, then select the Notification Priority.
- Notify by Landline – Select to send the message to a Landline , then select the Notification Priority.
- Consolidate multiple messages toggle is default to on. The recipient will only receive one message rather than one message per student.
- Send Parental Responsibility contacts only toggle is default to on. Only Student Contacts who are marked as having Parental Responsibility will receive the communication.
- Only include mobiles marked to receive text messages – Will only send to these mobiles.
- Select the Priority Level of the Mobile that you wish to receive the SMS message (single select).

Step 4 View Recipients – allows you to view the recipients by name and how many students in this list will receive an SMS message.
- Prev – takes you back to step 3 Message Settings.
- Cancel – closes the wizard and takes you to the Student List.
- Send – Confirm you would like to send the email to the recipients.
Note: When sending an SMS Message, you need to ensure that the Contact has a Mobile number on their Contact Information and that Use this mobile for text messages is ticked. This is done by editing the Contact Information from the Student’s Details and editing the Phone Number.
