How to import Journal details in MAT Finance

In this guide, we will explain how to import CSV, Excel, and TXT files into all Journals (except for Cashbook Journals) in the MAT Finance Module.

Access: The minimum permissions required to carry out this task are found in the Finance Module of Config>Setup>Roles & Permissions.

From the Menu, go to Finance > New Entry > Journal.

Click on the Import button, which will launch the Import Journal popup.

In the Import Journal popup, select one of the following options:

1. Download a template:

  • Select the File Type you want to download. 
  • Select Template to download.

2. Import a saved file:

  • Select the File Type you are importing. 
  • Select Choose File to import a single file.
  • Select the saved file and click Open.

Note: The file must be in the same format as the File Type.

A Success message will popup which will detail the number of rows that have been imported with valid and also invalid data, and the number of rows that have been skipped.

This is an example of a successful import for one row with valid data.

Note: Importing a Journal will always overwrite existing information in the Journal row. 

If the import contains invalid data, or a blank Description, Debit, or Credit, the table will leave these cells blank and highlight them with a red border. These cells can be edited in the table. Users will not be able to “Save Draft” or “Post” the Journal without removing all of the invalid data.

Examples of invalid data:

  • Negative Debit or Credit values.
  • Blank Cost Centre, or Ledger Code.
  • Cost Centre or Ledger Code not recognised.
  • Cost Centre or Ledger Code not linked.

This is an example of a successful import but with a blank Ledger Code.
