How to add Safeguarding information to a Students Record

Use this guide to add the following information to a Students Profile:

Access: The minimum permissions required to lookup specific students are found in the Framework Module>Students of Config>Setup>Roles & Permissions.

Access Safeguarding in the Student Profile

Go to Students>Select the Students>View to open the Student Profile

Click on Safeguarding in the left hand menu in the Student Profile

Looked After

Either scroll down to see Looked After or click on the top right drop down arrow and select Looked After to jump to that section in the Safeguarding tab

Access Looked After Panel

In the Looked After Section click the + symbol on the right hand side.

Add Looked After

All fields marked with an * should be completed:

  • Type in the Start Date* ( this defaults todays date) and End Date if required
  • Choose the Caring Authority from the drop down choices
  • Choose the Type of Care from the drop down choices
  • PEP is ticked by default, untick if required.
Add Looked After

Once you are happy with the information inputted click Save

Save the record

Child Protection

Either scroll down to see Child Protection or click on the top right drop down arrow and select Child Protection to jump to that section in the Safeguarding tab.

Access Child Protection Panel

In the Child Protection Section click the + symbol on the right hand side.

Add Child Protection

All fields marked with an * should be completed:

  • Type in the Start Date* ( this defaults todays date) and End Date if required
  • Choose the Registering Authority from the drop down choices
  • Type in Notes if required

Once you are happy with the information inputted click Save

Either scroll down to see Looked After or click on the top right drop down arrow and select Looked After to jump to that section in the Safeguarding tab

In the Looked After Section click the + symbol on the right hand side.

Add Child Looked After

All fields marked with an * must be completed in order to save the record:

  • Type in the Start Date* ( this defaults todays date)
  • Choose the Caring Authority from the drop down choices
  • Choose the Living Arrangements from the drop down choices

You also have the option to add the following information, if required:

  • End Date – Enter the End Date of the Looked After Status, if known.
  • Comments – You can use this section to record any further detail you would like.
  • PEP Start Date & PEP End Date – If a PEP is in place, use these fields to record the Start and End Dates.

You can add People Involved by clicking Add New.

First select the Role from the dropdown. The option you select here will decide which people are available to you to select in the Name field.

Note: If you select Agent in the dropdown, only Agents that are linked to the Student through the Linked Agents panel on the Profile page of the Students Profile will be listed.

Next, select the Name and Relationship Type from the drop downs and then enter a Start Date for their relationship with the Student. You also have the option to add an End Date if you know it however this is not mandatory. Once you’re happy click Save.

Add New Person Involved

The person you have added will then display in the table. Continue adding people until you have all the People Involved listed.

Once you are happy with the information inputted click Save

Child Protection

Either scroll down to see Child Protection or click on the top right drop down arrow and select Child Protection to jump to that section in the Safeguarding tab.

In the Child Protection Section click the + symbol on the right hand side.

Add Child Protection

All fields marked with an * should be completed:

  • Type in the Start Date* ( this defaults todays date) and End Date if required
  • Choose the Registering Authority from the drop down choices
  • Type in Notes if required

Once you are happy with the information inputted click Save
