Access: The minimum permissions required to access the Profile page within a Student’s record are found in the Framework Module of Config>Setup>Roles & Permissions.

From the left Menu go to Students to open the Student List Page > click on the name(s) Select 1 or more Students > View.
The Student Details page will open on the Profile page. The main information for that Student will be displayed in the top section.
Profile
Moving the mouse pointer over the Student Name, will display an Edit option.

Click on this to make quick changes to Basic Details, Additional Details or Previous Names.
Basic Details
All fields marked with an * must be completed. Use drop downs for Gender, Gender Identity and Preferred Pronouns. Gender Identity and Preferred Pronouns come from the a Lookup table in Config>Admin>Lookup Tables. See How to Edit Lookup Tables

Previous Names
Click on the + to Add Previous Name


Additional Details

Moving the mouse pointer over the Email and Address, will display an Edit option.

Click on this to make quick changes to Phone & Email or Address.


Contacts
Displays the list of Contacts for that Student, click on the + icon top right to Add a new Contact or double click on a Contact to Edit.
For more information on updating Contact Details see How to Manage and Add Contacts from the Student List
Double click on the Contact to amend the Personal Details, Linked Students, Phone & Email, Address or User Defined Fields.
To update Parental Responsibility click on the pencil icon for the Contact in the Linked Students tab

Then you can choose Parental Responsibility

If you make any changes, make sure to press Save.
Siblings (On Roll)
Displays the list of Siblings (On Roll) linked to that Student, double click on the Sibling to open their Student Details page.

Click on the + icon top right to Add a new Sibling.

Ethnicity & Religion
Displays the list of Ethnicity & Religion details for that Student, double click on an option to Edit.

Click on the + icon top right to Add and select Ethnicity, Religion or Languages.




Funding & Allowances
Displays the list of the Funding & Allowances details for that Student double click on an option to Edit.

Click on the + icon top right to Add and select Pupil Premium, Top Up Fundings, Additional Information or Learner Monitoring ( National Tutoring Programme NTP) to include School Led Tutoring Edit. Includes Eligibility Code in Additional Information

Meal & Transport
Displays the list of the Meal & Transport details for that Student double click on an option to Edit.

Click on the + icon top right to Add and select Free School Meals, Meal Patterns, Free School Transport or Usual Preferences to Edit.

Parental Consent
Displays the list of the Parental Consent details for that Student. Click on the + in the top-right corner to Edit.
Note: The Parental Consent options are created by the school under Config > Administration > Lookup Tables.

Click on the top right + icon to see the following tabs; Consent, Consent History and Additional Information.

Consent
This tab displays all active consents for the selected student, along with their current status—Pending, Granted, Revoked, or Declined, as applicable.
- Consent Status – Displays the current status of each consent (e.g., Pending, Granted, Revoked, Declined).
- Active in MCAS – Indicates whether the consent is active in MCAS. (Path: Config > MyChildAtSchool > Parental Consents > ‘Is Active’)
- Actions – A Decline option allows users to decline a pending consent. Users can still Revoke or Edit a granted consent.
- Search & Filter
Search and filter data for more refined results.
- Export Options
Users can export the table in the following formats:
- Word (.docx)
- Excel (.xlsx)
- CSV (.csv)
- PDF (.pdf)
Ability to Grant/Decline Consent
Administrators have the ability to grant parental consent on behalf of parents and students (if aged 13 or older). They can select one or more consents—or skip selection and go directly to the Update Consent button, which presents two options:
- Grant Consent
- Decline Consent
Selecting either option opens a popup with the following fields:
- Available Consents
- If no consents were selected before opening the popup, the dropdown will display ‘PLEASE SELECT‘.
- When Grant Consent is selected, the dropdown shows consents with statuses: Pending, Declined, and Revoked.
- When Decline Consent is selected, the dropdown shows consents with statuses: Pending, and Granted.
- If consents were pre-selected before opening the popup, they appear (if their status matches the conditions above). Additional consents can be added.
- This is a multi-select field.
- Status
- Automatically displays the selected action (Granted or Declined).
- This field is read-only.
- Consent By
- Displays a list of all users assigned to the student (e.g. parent, guardian, teacher).
- The student is included if they are 13 years or older.
- Date Granted
- Defaults to today’s date but can be set to a date in the past date, if required.
Upon confirmation, selected consents are saved with their chosen Status, Consent By and Date. The popup closes, and the consent records update accordingly.
Consent History
May 2025 Update: The Revoke History tab has been renamed to Consent History and now provides a comprehensive view of all consent activity for a student, including statuses of Granted, Revoked, and Declined.
- Each consent appears only once in the list.
- Where a consent has been updated multiple times (e.g., granted then declined), a chevron icon appears, allowing users to expand and view the full consent history. When expanded, the history shows all status changes in reverse chronological order, with the most recent change at the top.
- The Consent End Date column displays the configured end date (if set) from: Config > MyChildAtSchool > Parental Consents > ‘End Date’.
This enhancement improves visibility into historical consent decisions and supports clearer audit trails for parental permissions.
Interventions
Displays the list of the Intervention details for that Student double click on an option to Edit or add Reviews.
This section of the Student Profile could be used to log a managed move against a Students Profile.

Click on the + icon top right to add a new Intervention. An Intervention can be for the Student only as a Solo Intervention.

A Student can also be added to a Group Intervention.

Access Arrangements
Displays the list of the Access Arrangements for that Student.
Double click on an option to Edit.

Click on the + icon top right to Add and select Online Access Arrangements, Other Online Arrangements or Discretionary Arrangements.

An Access Arrangement Import is available by going to the Student List Page and selecting the Actions button, allowing Import from a spreadsheet. See Also: How to Import Access Arrangements in Bulk
Support Events
Displays the list of Support Events for that Student double click on an option to Edit.

Click on the + icon top right to Add.

May 2025 update: Administrators now have the ability to upload and attach relevant documentation directly within the Support Events dialog box in a student’s Profile.
Supported File Formats Include:
- Documents: .csv, .xlsx (Excel), .docx (Word), .pdf
- Images: .jpg, .jpeg, .png – with thumbnail previews for quick visual reference.
Document management:
- Users can delete documents individually or choose Delete All to remove them in bulk.
Note: As part of this release, the character limit for the Description and Internal Notes fields has been increased to 2000 characters.
Support Documents
Displays the list of Support Documents for that Student double click on an option to Edit.

Click on the + icon top right to Add a document.

Passport Information
Displays the Passport Information details for that Student, double click on an option to Edit.

Click on the + icon top right to Add and select Passports, Visa Details or Visa Extensions.

Student Employment
Displays the list of Student Employment for that Student double click on an option to Edit.

Click on the + icon top right to Add.

User Defined Fields
Displays the list of the User Defined Fields for that Student double click on an option to Edit.
Note: User Defined Fields are created and added to the relevant pages by the school. this is done from Config > Administration > User Defined Fields.

Editing Student Contact Details
Moving the mouse pointer over the Email and Address, will display an Edit option.

Contacts
Displays the list of Contacts for that Student, click on the + icon top right to Add a new Contact or double click on a Contact to Edit.

Funding & Allowances
Displays the list of the Funding & Allowances details for that Student double click on an option to Edit.

Click on the + icon top right to Add Learner Support.

Meal & Transport
Displays the list of the Meal & Transport details for that Student double click on an option to Edit.

Click on the + icon top right to Add and select Free School Meals, Meal Patterns, Free School Transport or Usual Preferences to Edit.

Parental Consent
Displays the list of the Parental Consent details for that Student. Click on the + in the top-right corner to Edit.
Note: The Parental Consent options are created by the school under Config > Administration > Lookup Tables.

Click on the + icon top right to add a new Consent option.

To Revoke a Parental Consent, hover over the Consent you would like to Revoke, and press the Bin icon.

Select the Contact who has requested that the Consent be Revoked from the Revoked By dropdown. The Date Revoked will default to today, if this is incorrect, select the correct Date using the Calendar icon. Once you’re happy press Save.

You can check this by selecting the Revoke History tab at the top of the Parental Consents pop-up.

You will see any Revoked Parental Consents listed here.

Interventions
Displays the list of the Intervention details for that Student double click on an option to Edit or add Reviews.
This section of the Student Profile could be used to log a managed move against a Students Profile.

Click on the + icon top right to add a new Intervention. An Intervention can be for the Student only as a Solo Intervention.

A Student can also be added to a Group Intervention.

Access Arrangements
Displays the list of the Access Arrangements for that Student.
Double click on an option to Edit.

Click on the + icon top right to Add and select Online Access Arrangements, Other Online Arrangements or Discretionary Arrangements.

Attendance Highlights
This panel provides a quick overview of student attendance, displaying the Number of Sessions Absent and the corresponding Absent Percentage.
Important: The figures are calculated for the academic year up to the end of the previous academic day.
- Number of Sessions Absent:
- This count includes all absent AM and PM sessions in the academic year up to the end of the previous academic day e.g. absent for a whole day = 2 absent sessions.
- The number is calculated relative to the total sessions completed in the academic year up to the end of the previous academic day.
- The count resets at the start of each academic year.
- Absent Percentage:
- The Number of Sessions Absent expressed as a percentage of the total sessions completed in the academic year up to the end of the previous academic day.
Attendance Highlights popup:
- Clicking on the expand icon opens the Attendance Highlights Popup, displaying a more detailed view.
- Users can Export the detailed attendance data to CSV or PDF for further analysis or record-keeping.
Permissions: The Attendance Highlights option will have to be enabled from the Framework > People > Students > New Student Details > Profile module for the appropriate roles.
Note: This check box will be unticked by default.
