School Census Error 4001 & 4002

Use this guide to resolve School Census Errors 4001 & 4002

Error 4001:

DfE Validation:

  • Where <LearnFAMCode> is equal to ’01’, pupil must be in <NCyearActual> 1-14 or aged 5-19 as at 2024-08-31 (DOB is between 2004-09-01 and 2019-08-31 inclusive) in <NCyearActual> ‘X’
  • Pupil is not eligible for  Tutoring

Error 4002:

DfE Validation:

  • Where <LearnFAMCode> is equal to ’01’, pupil must be aged 5-19 as at 2024-08-31 (DOB is between 2004-09-01 and 2019-08-31 inclusive)
  • Pupil is not eligible for Tutoring

Explanation for 4001 & 4002:

  • If Learner Funding & Monitoring in Student Profile>Funding & Allowances>Learner Monitoring is set to In Receipt of Tutoring then the Student must be in Year Group 1-11 OR aged 5-15 as at 31/08/2024 and in Year Group X
  • Tip: this error can happen if the End Date of the Learner Monitoring Record extends past 31/07/2024. So in the example a Student was in Year 11 for the start date of the Learner Monitoring Record but may be in Year 12 at the end date.

Go to Students>Student Profile>Funding & Allowances.

Pathway

To edit click on a record.

Select Record

Then click the right hand side pencil icon to edit Learning Monitoring

Edit Learner Monitoring

In this example a Year 11 Student has Learner in receipt of 16-19 tuition fund ticked.

To amend the choice choose the correct choice from the drop down choices, 16-19 is only available for Post 16 Students.

Save.

IMPORTANT in order for the resolved error/query to be removed from the list of errors/queries you would need to generate a new Census return and remember to use save & validate for the errors/queries to update/clear.
