Use this guide to resolve School Census Query 1881Q
Error 1881Q:
DfE Validation:
- Autumn only: For PupilsOnRoll with <EntryDate> after 2024-05-25 then <SessionsPossible> should not be greater than zero
- Autumn: Please check the entry date as the sessions possible indicate that the pupil attended the school during the first half of the summer term. If the pupil left and was subsequently readmitted, the query will be accepted by DfE on condition that a suitable explanatory notepad entry is provided.
- Spring only: For PupilsOnRoll with <EntryDate> after 2024-12-31 then <SessionsPossible> should not be greater than zero
- Summer only: For PupilsOnRoll with <EntryDate> after 2025-04-20 (Easter Sunday) then <SessionsPossible> should not be greater than zero
- For spring and summer: Please check the entry date as the sessions possible indicate that the pupil attended the school during the term prior to this date. If the pupil left and was subsequently readmitted, the query will be accepted by DfE on condition that a suitable explanatory notepad entry is provided.
Explanation:
- This query can flag when the Student has been given multiple Enrolments into your school. You’ll need to check whether the Student left your school and then returned. To check the Students Enrolment record go to Students>View Profile>Enrolment>School History. See How to View Students Enrolment
- To check the Attendance record for the Students identified go to Reports>Attendance>Attendance Certificate>Students and choose the date ranges for the Census you are running>Preview.
- If everything is correct you can add a notepad entry for queries on COLLECT

First, check the Enrolments for the Students indicated in the Query. To do this, select Students from the left hand menu.
Find the Student in the list, click on them once to select them then click View.
Select Enrolment.
In the Enrolment Status panel, check that the Enrolment record is correct. Note that where the Student hasn’t left the school but has different periods of Enrolment, the End Date of the previous period of Enrolment and the Start Date of the next should be sequential.
Using the following screenshot as an example the initial period of Single Registration ends on 25/01/2023, and then the period of Dual Registration begins on 26/01/2023
If the Enrolment records are correct, you can then check the Attendance Certificate. Go to Reports>Attendance>Attendance Certificate>Students
In Report for choose Student and then either type in the Student name or click the Find button to open the full Student Selector list if you want to select multiple Students
Click Preview.
IMPORTANT in order for the resolved error/query to be removed from the list of errors/queries you would need to generate a new Census return and remember to use save & validate for the errors/queries to update/clear.
