School Census Error 1852, 1855 & 1859

Use this guide to resolve School Census Error 1852, 1855 & 1859

Error 1852;

  • DfE Validation:
  • The following criteria for 2 and 3 year olds applies:
    • Autumn census: For pupils born between 2019-09-01 and 2021-08-31 (inclusive) <FundedHours> must be provided and in the range 0 to 15  and to two decimal places
    • Spring census: For pupils born between 2019-09-01 and 2021-12-31 (inclusive) <FundedHours> must be provided and in the range 0 to 15 and to two decimal places
    • Summer census: For pupils born between 2019-09-01 and 2022-03-31 (inclusive) <FundedHours> must be provided and in the range 0 to 15 and to two decimal places
  • The following criteria for 4 year olds applies: <FundedHours> must be provided and in the range 0 to 15 and to two decimal places where:
    • [DOB is as follows:
    • Autumn: For pupils born between 2018-09-01 and 2019-08-31 (inclusive)
    • Spring: For pupils born between 2019-01-01 and 2019-08-31 (inclusive)
    • Summer: For pupils born between 2019-04-01 and 2019-08-31 (inclusive)]
    • AND[<NCyearActual> equals ‘E1’, ‘E2’, ‘N1’ or ‘N2’]
  • Explanation: Within the Pupil Reconciliation panel of your Census (when making a new one, that’s not yet been Saved & Validated), the Funded Hours (left column) must be a number between 0 and 15, to 2 decimal places. If this a whole number (e.g. 5), then you can just enter 5, and the MIS will enter the 2 decimal places for you. 

Error 1855;

  • DfE Validation:
  • Autumn census: For pupils born between 2019-09-01 and 2021-08-31 (inclusive) <HoursAtSetting> must be provided and in the range 0.00 to 70.00
  • Spring census: For pupils born between 2019-09-01 and 2021-12-31 (inclusive) <HoursAtSetting> must be provided and in the range 0.00 to 70.00
  • Summer census: For pupils born between 2019-09-01 and 2022-03-31 (inclusive) <HoursAtSetting> must be provided and in the range 0.00 to 70.00
  • Explanation: Within the Pupil Reconciliation panel of your Census (when making a new one, that’s not yet been Saved & Validated), the Hours at Setting (middle column) must be a number between 0 and 70, to 2 decimal places. If this a whole number (e.g. 5), then you can just enter 5, and the MIS will enter the 2 decimal places for you..

Error 1859;

  • DfE Validation Funded hours plus any extended hours cannot be more than the hours at setting 
  • Explanation: Hours at setting must equal the number you’ve put into “Funded Hours” and “Extended Hours”.For example: if these are both set to 15, then “Hours at Setting” must be 30.

THE EXAMPLES AND SCREENSHOTS IN THIS GUIDE ARE FOR ILLUSTRATION PURPOSES ONLY

Go to Modules>Census>School

Select the required return and click Edit.

Click>Edit

Then via the Pupil Reconciliation Panel of the Census Data Entry Page, check that you have entered the correct Funded Hours and Hours at Setting for those Pupil/Students displayed. 

Pupil Reconciliation

As an example; Funded Hours + Extended Hours = Hours at Setting.

So, FOR EXAMPLE if the Student has 15 Funded, and 15 extended, then Hours at Setting would be 30.
The page would then look like 15 30 15 (Column A + Column C = Column B).

IMPORTANT in order for the resolved error/query to be removed from the list of errors/queries you would need to generate a new Census return and remember to use save & validate for the errors/queries to update/clear.
