Use this guide to resolve School Census Error 3140

Error 3140:

DfE Validation:

• For all school phases, the following criteria for 3 year olds applies:
• <ExtendedHours> must be present and in the range 0 to 15 (inclusive) to two decimal places for all 3 year olds where:[DOB is as follows:
  • Autumn: For pupils born between 2019-09-01 and 2020-08-31 (inclusive)
  • Spring: For pupils born between 2019-09-01 and 2020-12-31 (inclusive)
  • Summer: For pupils born between 2019-09-01 and 2021-03-31 (inclusive)]
• AND [<ThirtyHourCode> is present]

• For all school phases, the following criteria for 4 year olds applies:
• <ExtendedHours> must be present and in the range 0 to 15 (inclusive) to two decimal places for 4 year olds where: [<NCyearActual> equals ‘E1’, ‘E2’, ‘N1’ or ‘N2’] AND [DOB is as follows:
  • Autumn: For pupils born between 2018-09-01 and 2019-08-31 (inclusive)
  • Spring: For pupils born between 2019-01-01 and 2019-08-31 (inclusive)
  • Summer: For pupils born between 2019-04-01 and 2019-08-31 (inclusive)]
• AND [<ThirtyHourCode> is present]
• Child’s extended hours not provided or out of the range of 0 to 15 hours

Explanation:

• If you need to amend the Extended Childcare Hours go to Modules>Census>Select Return>Edit>Pupil Reconciliation Panel>amend Extended Childcare Hours figure>Save & Validate
• Extended Childcare Hours are recorded to 2 decimal places and it should be noted that this is a decimal of hours and therefore does not record hours and minutes. For example, where a pupil has:
  • 10 and a half hours, this is recorded as 10.50
  • 10 hours and 40 minutes, this is recorded as 10.67 as 40 minutes divided by 60 minutes = 66.66 rounded up to 10.67

Go to Modules>Census>School>Click on the required Return>Edit

Then scroll down to see the Pupil Reconciliation panel, this panel will only be visible if Students under the age of 5 are on roll with a valid UPN.

If the Extended Childcare Hours figure is incorrect you can type in the 0.00 box to correct it the amount.

Then click Save & Validate at the top of the Census screen.

IMPORTANT in order for the resolved error/query to be removed from the list of errors/queries you would need to generate a new Census return and remember to use save & validate for the errors/queries to update/clear.
