Use this guide to resolve School Census Errors 2340 & 2341

Error 2341:

• DfE Validation: <PostCode> must be present and a valid format.
  • Valid formats are: An nAA, Ann nAA, AAn nAA, AAnn nAA, AnA nAA, AAnA nAA where ‘A’ is alphabetic and ‘n’ is numeric. Also valid: BFPO n. BFPO nn. BFPO nnn

• Explanation: Go to Students>Student Profile>Edit Contact Details>Address>Edit Record>Postcode and ensure the Students Postcode must be in a valid format and the address must be present as of Census Date>Save.
  • Valid postcode formats = An nAA , Ann nAA , AAn nAA, AAnn nAA , AnA nAA , AAnA nAA
    where ‘A’ is alphabetic and ‘n’ is numeric. Also valid: BFPO n, BFPO nn, BFPO nnn

Error 2341

• DfE Validation: For <PupilsNoLongerOnRoll> if at least one <ProgrammeAims> node exists then <PostCode> must be present and in a valid format as follows:
  • An nAA , Ann nAA , AAn nAA, AAnn nAA , AnA nAA , AAnA nAA
    where ‘A’ is alphabetic and ‘n’ is numeric. Also valid:
    BFPO n, BFPO nn, BFPO nnn
    
• Explanation: If a Student is no longer on roll AND at least one Programme AIM exists then go to Students>Student Profile>Edit Contact Details>Address>Edit Record>Postcode and ensure the Students Postcode must be in a valid format and the address must be present as of Census Date>Save.
  • Valid postcode formats = An nAA , Ann nAA , AAn nAA, AAnn nAA , AnA nAA , AAnA nAA
    where ‘A’ is alphabetic and ‘n’ is numeric. Also valid: BFPO n, BFPO nn, BFPO nnn

Go to the Student Profile and click Edit Contact Details to the right of the Students telephone number.

Then click on the Address tab

Click on the pencil icon to the right of the Address to edit the Address

Then ensure the Postcode field is in the valid format. Save

IMPORTANT in order for the resolved error/query to be removed from the list of errors/queries you would need to generate a new Census return and remember to use save & validate for the errors/queries to update/clear.
